Plan the Ride Home: An Event Guest Transportation Worksheet

A ride-home plan works best when guests know about it before the celebration begins. An address alone is not a complete plan: people also need to know where to wait, who can help and what happens if their first arrangement falls through. Those details deserve a place alongside the event’s arrival instructions.

For a Wichita party or a celebration at a venue outside the city, confirm transportation at the actual location and time. Do not assume that an app showing cars on an ordinary afternoon guarantees availability when your event ends. Treat each provider’s confirmed arrangement as the starting point.

Make the transportation decision before drinking begins

NHTSA’s drunk-driving guidance explains that even small amounts of alcohol can affect driving and that people cannot reliably judge their own impairment. Plan for a sober driver or another confirmed way home instead of trying to calculate whether a guest can drive after a particular number of drinks.

Ask guests to arrange their ride in advance. If you are booking a shuttle or other transport, confirm the route, operating window, capacity, payment arrangements and provider contact. If transportation remains each guest’s responsibility, say so plainly while giving them the venue information needed to make a plan.

Include accessibility and other transport requirements in the planning conversation with the relevant provider. Ask what can actually be accommodated rather than assuming that every available vehicle is suitable for every guest.

Agree on one recognizable pickup point

Walk through the departure area with the venue contact. The location on a map may lead a driver to the front entrance while guests are waiting at a side door. Write directions that use a visible entrance or landmark, and confirm that vehicles may stop there.

NHTSA’s ride-home safety advice recommends waiting inside when possible, or in a well-lit place away from the roadway where a driver can stop safely. It also advises ride-hailing passengers to match the vehicle and driver to the booking and to wear seat belts. Build those checks into the pickup instructions without turning the entrance into a crowded waiting area.

Keep vehicle pickup separate from loading equipment if the venue can accommodate that arrangement. Ask who will direct a driver that reaches the wrong entrance. A short, accurate pickup description is more useful than asking every guest to improvise directions at the end of the night.

Complete a guest departure worksheet

Use this template with your venue and transportation contact. It records proposed arrangements; it does not mean a vehicle or service has been booked.

Planning field Confirmed detail
Event location Street address, correct entrance and pickup landmark
Primary arrangement Guest-arranged ride, confirmed sober driver or booked provider
Service details Provider contact, pickup window, route and reservation reference
Sober event contact Named person who agrees to help coordinate departures
Waiting location Venue-approved area and how long it remains accessible
Backup arrangement Who makes the call if the first ride is unavailable
Vehicle left overnight Venue permission, collection instructions and contact

Choose a contact who knows they have this role and will remain sober. Make sure they have the transport details and authority to contact the venue or organizer. Do not assign the job informally to the busiest person at the event and hope they notice when help is needed.

Share the plan in two useful places

Send confirmed transportation information with the event details, then make a short version available at the venue. A clear example is: “Please arrange a sober ride before attending. Pickup is at [confirmed entrance]. For help finding your ride, contact [designated event contact].” Replace every placeholder before sharing it.

Only promise a shuttle, paid ride or collection service after it has been arranged. If guests must reserve seats or pay their own fare, communicate that before the event. Keep personal addresses and individual travel plans out of public signs and group announcements.

Connect the bar team to the departure contact

Your transportation plan and beverage-service plan need a shared contact, even when different providers handle them. Tell the bar team who to reach if a guest needs help arranging a ride. Confirm the event finish and venue departure arrangements separately from the bar’s service hours.

When discussing ICT Bartending’s mobile bar services, include the name or role of your departure coordinator. Use the event quote form for the bartending scope, and confirm transport directly with whoever is arranging it. Before the event begins, check that each contact has the same pickup details and backup plan.
